Terms & Conditions
Effective Date: March 5, 2026.
At Saavedra CPA LLC, our goal is to provide high-quality, strategic guidance through a professional and efficient working relationship. The following terms establish mutual expectations and protect the time, effort, and confidentiality involved in each engagement.
Communication & Availability
We prioritize timely and organized communication.
- Messages are channeled by e-mail.
- Files are channeled by our portal (Connect).
- Meetings (phone or video) are generally held by appointment.
- For clarity and documentation, we perform most onboarding and follow up via our Connect portal.
- Communications are channeled as part of a confirmed, active client engagement.
- An associate will reach out to you (or your chosen point of contact, when applicable) regarding each engagement. You can expect:
- Monthly requests for tax and compliance matters
- Annual tax requests
- Multiple requests for registration
- Multiple monthly requests or follow-up for consulting and advisory, until defined objectives are met

Organizational Note: We initiate service-specific communication. Casual or fragmented updates may not be processed. You can expect structured, relevant, and actionable communications. We kindly ask that you respond completely to each request. We will follow-up regarding ongoing matters. Feel free to send a message or schedule a call to address new developments.
- When necessary, for effective purposes, we limit communications to request lists, reviewed deliverables, finalized reports or opinions, and strategic tax planning sessions, in addition to onboarding and billing.
SMS Messaging Terms
By opting into SMS messaging from Saavedra CPA LLC via our website or forms, you agree to receive text messages including account notifications, document requests, and service updates. Message frequency may vary. Message and data rates may apply. You may opt out at any time by replying STOP. See our full SMS Terms of Service and Privacy Policy for more details.
Document Security & Confidentiality
We treat all client information with strict confidentiality.
- All documents are processed through secure, encrypted systems.
- Clients are responsible for uploading documents using portal access.
We do not accept sensitive information via unsecured channels, including unencrypted email attachments or text messages.
Appointment Scheduling, Payment & Cancellation
To ensure focused service and minimize scheduling conflicts:
- Consultations may require payment in advance to reserve your appointment.
- You may reschedule once with at least 24 hours’ notice.
- Cancellations with less than 24 hours’ notice or failure to attend the scheduled time will forfeit the deposit.
- Deposits are non-refundable unless the session is canceled by our office and no suitable reschedule is offered.
Scope of Consultation
Initial consultations are introductory in nature. Unless separately agreed upon, they do not include:
- Tax return preparation or filing
- Entity formation or official documentation
- Ongoing representation or compliance monitoring
If additional services are appropriate, they will be discussed separately, with a formal engagement letter issued for those services. In the absence of a formal engagement letter, standard hourly rates will apply.
Consultation Types & Billing Structure
We offer the following initial consultation tiers, which are initial sessions:
- Introduction Call (15–20 minutes)
For general questions, early-stage inquiries, or determining potential fit for services + registration. - Formation & Planning (30–40 minutes)
For clients exploring entity setup, exemption qualification, or pre-launch strategy. - Review & Optimization (45–60 minutes)
For those with an existing business or organization seeking guidance on structure, compliance, or potential service needs (in Puerto Rico or elsewhere).
Additional services or work beyond the initial consult fee are billed separately, based on scope and service level.
Engagement Expectations & Boundaries
Our firm operates with professionalism, structure, and respect for all parties’ time. To maintain a productive relationship:
- We are prepared to support your goals as soon as you are ready to engage fully.
- Delays in communication, incomplete documentation, or reactive inquiries may impact timing, scope, and pricing.
- We respect your time and autonomy and likewise ask that client participation reflect shared accountability.
- If extended back-and-forth or unexpected complexities arise, the additional effort will be billed accordingly.

If we do not receive a response or follow-up within 30 days of our last documented outreach, the engagement may be considered inactive or abandoned. In such cases, we may bill for time incurred related to incomplete services. Deposits are non-refundable.
We recognize that every client is unique. For the benefit of all, we maintain a structured workflow and clear standards across engagements.
Billing Policy
Our billing models may vary depending on the engagement (e.g., hourly, project-based, or monthly), but the following applies universally:
- All professional time spent on a client’s matter—whether during meetings, preparation, or correspondence—is considered billable unless explicitly stated otherwise.
- Work commenced without formal completion may still be billed if it reflects meaningful time and analysis on our part.
We may summarize time or effort to date upon request, but billing accrues based on actual services provided, not solely on deliverables filed. We may request a deposit for any engagement.
Acknowledgment & Agreement
By scheduling and submitting payment, you confirm that:
- You have reviewed and agreed to the terms above.
- You understand the scope and limitations of the consultation session.
- You agree to the selected consultation fee and understand that additional services will be discussed and billed separately.
